The El Dorado Hills Fire Department is seeking proposals from qualified and experienced vendors to upgrade its main station's audio-visual and conference room systems. This Request for Proposals (RFP) invites providers who specialize in modern AV meeting technologies to submit comprehensive solutions that align with the Department’s operational needs. The upgraded system will support a range of uses, including public Board meetings, internal trainings, and hybrid gatherings, to better serve the Department’s staff and the community. Proposers with the ability to deliver high-quality, responsive services and innovative enhancements are encouraged to apply.

Release Request for Proposal: June 19, 2025
Site Visits by Proposer By appointment: June 30, 2025 to July 10, 2025
Deadline for Proposer Questions: July 15, 2025, at 5:00 PM PDT
Proposals Due: August 4, 2025, at 4:00 PM PDT
Notice of Intent to Award: August 26, 2025, at 4:00 PM PDT
Estimated Service Start Date: September 2025 (target date)
INQUIRIES: All inquiries related to this RFP are to be directed, in writing, to Deputy Chief Hall at dhall@edhfire.com. All inquiries must be received by 5:00 PM, PDT, Tuesday, July 15, 2025. Inquiries will be answered via e-mail. Information obtained from any other source is not official and should not be relied upon by Proposers.
SUBMISSIONS: Submit your response via email, and also mail one signed original to the mailing address below. Proposals must be received no later than 5:00 PM Pacific Daylight Time on August 4, 2025. Proposals received after this time and date will not be accepted.
